This policy explains what personal data New Trend Loss Adjusters Limited collects through ntloss.com, why we collect it, who we share it with and the rights you have under the Nigeria Data Protection Act 2023 (NDPA).

This policy covers the website only. Personal data we receive when an insurer, broker or insured instructs us on a claim or survey is handled under that engagement and the applicable law.

2. What we collect

Information you give us

• Contact form: your first and last name, email address, phone number (optional), the type of enquiry and your message.
• Report downloads: your first and last name, company, work email address, phone number (optional) and whether you would like to receive future insights from us.
• Newsletter sign-up: your email address.
• Email and phone: whatever you choose to tell us when you contact us directly.

If you are reporting a claim, your message may include details about other people, such as the insured, a policy number or witnesses. Please share only what is needed for us to respond, and do not send bank details, identity documents or health information through the website form.

Information collected automatically

• Usage data: pages visited, time on site, referring page, browser and device type, and an approximate location derived from your IP address, collected through Google Analytics.
• Security data: when you submit a form, Cloudflare Turnstile checks browser and device signals to tell people from automated spam.
• Cookies: see section 7.

3. How we use it and our legal basis

• To reply to your enquiry and, where it concerns a claim or survey, to take the steps you ask for. Basis: taking steps at your request before a contract, or our legitimate interest in responding to enquiries.
• To give you the reports you request and understand which organisations read them. Basis: our legitimate interest in sharing our research and developing business relationships.
• To send our newsletter and insights if you sign up or tick the opt-in box. Basis: your consent, which you can withdraw at any time using the unsubscribe link in each email or by contacting us.
• To understand how the site is used and improve it. Basis: your consent where cookies are involved, otherwise our legitimate interest.
• To protect the site and our forms from spam and misuse. Basis: our legitimate interest.
• To meet legal and regulatory obligations and to establish or defend legal claims. Basis: legal obligation or legitimate interest.

We do not sell your personal data and we do not use it for automated decisions that have legal or similarly significant effects on you.

4. Who we share it with

• Service providers that run the website for us: Webflow (website hosting and form submissions), Google (Google Analytics and web fonts), Cloudflare (Turnstile spam protection), CookieYes (cookie consent) and our email provider. They process data on our instructions.
• Insurers and brokers, where your enquiry relates to a claim or survey they have instructed us on, or need to instruct us on.
• Professional advisers, such as lawyers and auditors, where needed.
• Authorities, including the Nigeria Data Protection Commission (NDPC), courts and regulators, where the law requires it.
• A buyer or successor of our business, if that ever happens, subject to this policy.

5. Transfers outside Nigeria

Some of our service providers store or process data outside Nigeria, including in the United States. Where data leaves Nigeria we rely on the transfer grounds permitted by the NDPA, such as adequate protection in the receiving country or contractual safeguards.

6. How long we keep it

• Enquiries: for as long as needed to deal with them and keep a reasonable record. If an enquiry becomes a claim or survey instruction, the records become part of that file and follow its retention period.
• Newsletter: until you unsubscribe.
• Analytics: in line with the retention settings of Google Analytics.

When we no longer need data, we delete it or anonymise it.

7. Cookies

Cookies are small files stored on your device. We use:

• Necessary cookies, which make the site and forms work and remember your cookie choices.
• Analytics cookies from Google Analytics, which tell us how visitors use the site.

The cookie banner, provided by CookieYes, lets you accept or reject non-essential cookies and change your choice later. You can also block or delete cookies in your browser settings; some parts of the site may not work properly if you block necessary cookies.

8. Security

We use reasonable technical and organisational measures to protect personal data, including encrypted (HTTPS) connections to the site and access controls on submitted forms. No system is completely secure, so we cannot guarantee absolute security.

9. Your rights

Under the NDPA you have the right to:

• ask for a copy of the personal data we hold about you;
• ask us to correct inaccurate or incomplete data;
• ask us to delete your data in certain circumstances;
• ask us to restrict how we use your data, or object to our use of it;
• receive your data in a portable format in certain circumstances;
• withdraw your consent at any time, where we rely on consent;
• complain to the Nigeria Data Protection Commission (NDPC).

To use any of these rights, email legal@ntloss.com. We may ask you to confirm your identity. We aim to respond within 30 days of receiving a valid request.
